5. Site Operations and Services
5.01 Operation of Stand
The stand must be fully staffed and operational during opening hours of the exhibition. Exhibits displayed during the times of the exhibition should be opened to visitors. The Exhibitor must not participate in any activity which, in the opinion of the Organizer, is likely to cause annoyance to visitors or other exhibitors.
In particular, audio/visual display equipment must be so positioned, and the sound level so adjusted, as to comply with this requirement. Please refer to 4.04 of the Service Manual for specific noise level restrictions.
All activities of the Exhibitor and his staff must be confined to the stand site allocated. No advertising or canvassing for business may take place elsewhere in the exhibition hall.
IMPORTANT:
No move-in or removal of exhibits to and from the stand is allowed during the opening hours of the exhibition. Replenishment of stock should be made outside exhibition hours.
5.02 Storage
The Organizer is unable to provide storage facilities on-site for packing cases, surplus materials or other properties of the exhibitor. Prior arrangements for safekeeping of such items must be made with the official lifting and handling contractor.
DURING THE MOVE-IN, CONSTRUCTION OF STANDS AND REMOVAL OF EXHIBITS, THE PASSAGEWAYS IN THE EXHIBITION HALL MUST NOT BE OBSTRUCTED WITH PACKING MATERIALS, CONSTRUCTION MATERIALS OR DEBRIS.
At the end of each day, exhibitors are responsible for the removal of all their unwanted materials from the exhibition halls and are to ensure that their contractors comply accordingly.
5.03 Removal of Exhibits
Personal property and portable exhibits may be removed from the exhibition halls after the exhibition closes on the final day. While the Organizer will maintain security surveillance at all times, exhibitors are reminded that goods will be most at risk during this time and that stands should not be left unattended until all portable items have been removed and hired items and equipment collected by the appropriate suppliers.
During the open days of the exhibition, stores may only be delivered before opening hours in the morning of after closing time in the evening.
If you wish to remove any items of your display from the hall during the exhibition days, a GOODS REMOVAL PASS must be obtained from the SHOW MANAGEMENT OFFICE/FREIGHT FORWARDING CONTRACTOR OFFICE.
All items and exhibits must be cleared by the customs authorities before leaving the exhibition halls.
5.04 Travel & Hotel Services
IntelService in Moscow and their partner, BMTravel in New York City, have been selected by the Organizer to handle travel related services for the exhibition. Special rates have been negotiated with several hotels in the city. Please refer to FORM 20 for the direct link to their website for hotel accommodations, transfers and visa support.
Please be aware that May is a high season and we highly recommend booking your accommodation in Moscow as soon as you register for the exhibition.

5.05 Visa Processing Information
Visas are required for entry into Russia. You may choose to travel on a tourist visa or business visa. You may apply for a Russian entry visa at local Russian Embassy/Consulate or specially authorized travel agencies in your area. In order to apply for Russian entry visa at the Consulate, it is required to obtain visa support/invitation.
Tourist visa support:
Invitation letter can be obtained either from hotel where your accommodation is booked or from a travel agency. Tourist visa support can be requested via FORM 20.
Business visa support:
Invitation letters are required in order to apply for business visa at Russian Consulate. Invitation letters for business purposes can be requested via FORM 20.
Obtaining a business visa is more difficult and it is recommended that you apply for a business visa at least 6 weeks prior to your departure.
